If you’ve ever spent time clicking through menus in Acumatica ERP thinking, “I know this screen exists somewhere … but where is it?,” then this guide is for you. Universal Search is one of Acumatica’s most powerful time‑savers — but most users barely scratch the surface of what it can do.
Let’s walk through how to use Universal Search, how to find forms and reports faster, and how to troubleshoot common issues of “disappearing screens” including:

What Acumatica Universal Search Actually Does
Universal Search sits at the top of your Acumatica workspace and serves as your smart search bar for:
- Screens and Forms
- Reports and Generic Inquiries
- Dashboards and Pivot Tables
- Files and Notes Attached to Records
- Help topics about a particular form or process
- Transaction Records (depending on your version and access rights)
- Profiles such as vendors, customers and employees
The system searches for all matches of the keyword or phrase that you entered in the Search box.
In a nutshell, it’s your shortcut to almost everything!
Where to Find the Universal Search Box
You’ll find the search bar located at the top of your screen as circled/highlighted in Yellow below (containing the search phrase “customer” in the example). It’s always visible, no matter what Acumatica module you’re currently using.

Other elements of the screenshot above include:
- The tabs of the Search form (explained later in this article).
- The search results for the selected tab.
- The Close button. Since Universal Search launches as an overlay, closing the window returns you to the form, report, or dashboard that was opened when you started your search.
How to Find Screens in Acumatica (The Basics)
1. Type a keyword — even a partial one
Start typing the keyword of the screen you’re looking for. You don’t need to remember the exact name. Acumatica will match anything close.
Try typing:
- “vendor”
- “bill”
- “project”
- “inventory”
You’ll instantly see a dropdown of matching screens.
2. Using Common abbreviations
Acumatica Universal Search also recognizes common shortcuts such as:
- “AP” → Accounts Payable screens
- “AR” → Accounts Receivable
- “GL” → General Ledger
- “SO” → Sales Orders
- “PO” → Purchase Orders
This is especially helpful if you know the module but not the exact screen name.
3. Jump directly to a screen
Once you see the screen you want, click the link in the search results. It’s that simple.
How to Find Records
Depending on the version of Acumatica ERP that you’re running and the user permissions that are assigned to you, Universal Search can also find customers, vendors, items, projects, and documents.
Try typing:
- Customer name
- Vendor ID
- Stock item code
- Project ID
- Sales order number
If you have access, Acumatica will show the record right in the search results.
How to Find Reports and Dashboards
Reports and dashboards are searchable too — even if you don’t remember where they’re located. Simply start typing something like this:
- “AR aging”
- “inventory valuation”
- “project profitability”
- “cash forecast”
If you’re building dashboards or doing month‑end work, this saves a ton of clicks.

Understanding the Search Tabs
In the screenshot above in the area called out as “section 1”, you’ll notice several tabs across the screen. Here’s a quick rundown of what they mean and the type of results they display in your search query:
Menu Items:
On this tab, you can view links to forms, reports, or dashboards with the search string in their name or ID.
Transactions and Profiles:
Depending on the search string you have entered, you’ll see the following:
- If you entered a reference number or ID: displays a list of records and transactions identified by the reference number or ID. Entering a reference number or ID is the only way you can find a particular record through the Search form.
- If you entered a keyword, partial keyword, or phrase: displays a list of profiles whose names contain this word or phrase from the search string. Also, the descriptions of transactions and profiles are searched for the search strings, and transactions are listed on this tab if their descriptions contain the search string.
Help Topics:
This tab lists Help topics that contain the search string in their name or content. You can click any link to open the topic in a new browser tab.
Files:
Here, you can view the list of the files attached to records if the files contain the search string in their name.
Troubleshooting: Why Can’t I Find an Acumatica Screen?
Here’s a fairly common issue that Acumatica users experience:
“I know the screen exists, but it’s not showing up in search.”
Here are the most common reasons a screen isn’t showing up in search:
1. You don’t have access rights
If your role doesn’t include a screen, Acumatica hides it from search results entirely.
Fix: Ask your administrator to review your access rights.
2. The screen name changed after an update
Acumatica occasionally renames screens or reorganizes modules with new version releases.
Fix: Try searching by keyword instead of the old name.
3. You’re searching for a report that’s been customized
Custom reports may have different names or live in different folders than other standard reports in Acumatica.
Fix: Ask your administrator where the custom report was saved.
A Few More Tips for Using Acumatica Search
Here’s a collection of other useful tips when using Acumatica Universal Search:
The “Recently Viewed” section
Universal Search remembers your last screens and shows them at the top for quick and easy access to pick up where you left off last. It’s particularly helpful for recurring tasks like month‑end routines, daily AP/AR tasks, or repetitive data entry.
Use the “Help” search results
You can type any topic into the search field – “bills,” “projects,” “approvals” – and Acumatica will show help articles right inside the search results. This is perfect for new users or quick refreshers for tasks you don’t use very often.
Using Universal Search instead of menus
Menus are great for learning the system, but once you know the names of your screens, search is faster every time. Many experienced Acumatica users rely on search as their primary method of navigating the system.

Whether you’re new to Acumatica ERP or a seasoned user, mastering search will make your daily workflow smoother, faster, and more productive.
